Privacy Policy

This policy explains what InvoHawk collects and uses when a WooCommerce store connects to the service and generates invoices.

Overview

InvoHawk provides a WooCommerce PDF invoice workflow through a lightweight plugin and the InvoHawk invoice service. This Privacy Policy explains what information is collected, how it is used, and the choices available to store owners.

Information we collect

InvoHawk may collect store setup details such as store name, store URL, contact email, onboarding source, Terms and Privacy acceptance timestamps, plugin version, WordPress version, WooCommerce version, HPOS status, and basic client metadata needed to connect and support the store.

Seller profile information

When the store owner completes setup, InvoHawk may store seller details used on invoice PDFs, including company name, company address, company email, and VAT or tax ID if provided. For the current service, these details come from WooCommerce or plugin settings.

WooCommerce order and invoice data

To generate invoices, the plugin may send order identifiers, order numbers, order status, currency, totals, taxes, shipping, fees, product line items, customer name, customer email, customer address, and related invoice data. InvoHawk uses this information to create invoice records, prepare PDFs, make downloads available to the connected store, and enforce plan limits.

How we use information

InvoHawk uses collected information to connect stores, authenticate API requests, generate and store PDF invoices, show plan status, apply invoice limits, provide support, troubleshoot setup and compatibility issues, improve service reliability, prevent abuse, and comply with legal obligations.

Role of the store owner

The WooCommerce store owner is responsible for the personal information they choose to process through InvoHawk, including customer and order information. InvoHawk uses that information to provide the invoice service to the connected store and does not use customer invoice data for unrelated marketing.

Payment information

If a store unlocks paid access, payment-related details may be processed by a payment provider. InvoHawk should not receive or store full card numbers. Payment status and access-period information may be stored so the service can activate the paid plan for the connected store.

Sharing information

InvoHawk may share information with service providers that help operate the service, such as hosting, storage, PDF generation, email, support, monitoring, and payment providers. Information may also be disclosed when required by law, to protect rights and security, or in connection with a business transfer. InvoHawk does not sell customer invoice data.

Storage and retention

Generated PDF files are scheduled for cleanup after 30 days by default. Invoice records and related service data may be retained longer to provide the service, support the connected store, enforce plan limits, maintain security, resolve disputes, and meet legal or operational requirements. Store owners can contact support to request deletion or review of stored service data.

Security

InvoHawk uses API keys, access controls, validation, and operational safeguards to protect the service. No system is perfectly secure, so store owners should protect their WordPress admin access, keep plugins updated, and contact support promptly if they believe a connection key or account has been exposed.

Cookies and analytics

The current public website does not rely on advertising cookies or third-party marketing analytics. Application, security, or infrastructure cookies may be used where needed to operate the website or service. If analytics or additional tracking tools are added, this policy will be updated to describe them.

International processing

InvoHawk may process and store information in countries where its infrastructure, storage, support, and service providers operate. By using the service, the store owner understands that information may be processed outside the country where the store or its customers are located.

Your choices and rights

Store owners can update seller profile details in the plugin settings, disconnect the plugin, stop sending new invoice data, or contact support to request access, correction, deletion, or other help with service data. Some information may need to be retained when required for security, legal, billing, dispute, or operational reasons.

Children

InvoHawk is intended for WooCommerce store owners and business users. It is not directed to children and should not be used to intentionally collect personal information from children.

Changes to this Policy

InvoHawk may update this Privacy Policy when the product, infrastructure, providers, legal requirements, or data practices change. The updated date on this page will show when the latest version took effect.
